About the Role
Beeches Tree Care Services Ltd is looking for an experienced, highly organised Office Manager to run the day-to-day operations of our busy office. This is a varied, hands-on role at the heart of the business – you'll be the vital link between our customers, employees, subcontractors, and senior management, keeping the Directors informed and up to date on all aspects of daily operations.
You'll take ownership of everything from general administration and IT to accounts, sales and marketing, and contract reporting. If you thrive on variety, enjoy juggling priorities, and take pride in keeping an office running like clockwork, we'd love to hear from you.
What You'll Be Doing
Managing email for the Director and sales team.
Keeping IT systems, website and phones running smoothly.
Recommending and implementing system improvements.
Ordering office supplies and managing bespoke company software.
Maintaining up-to-date files for vehicles / machinery (service, MOT, tax), customer records, company accounts, works scheduling and personnel.
Updating the website and social media channels.
Running mailshots and telephone follow-ups.
Sales ledger data input and credit control.
Bank reconciliation.
Raising invoices and logging works on contract portals.
Supporting the Contracts Manager with reporting and KPI monitoring.
Collating information for invoicing and stakeholder / Director updates.
Providing information to teams to deliver works in line with contracts.
Director's diary and works schedule management.
Liaising with private and commercial customers, site visitors and general enquiries.
Liaising with Local Authorities (TPOs, parking suspensions) and hire companies (e.g. crane bookings).
Organising staff training, travel, audits and quality accreditations.
Organising vehicle MOTs and servicing.
Supporting staff with processes and procedures.
What We're Looking For
Minimum five years' Office Management experience.
Strong general administration skills.
Advanced IT skills, including Microsoft Office and Outlook.
Experience setting up and maintaining office filing systems and processes.
Accounts data input experience.
Director-level diary management experience.
Strong customer service and liaison skills.
Ability to work independently and unsupervised.
Comfortable working across multiple tasks and meeting deadlines under pressure.
GCSE (or equivalent) Level 2+ in English and Mathematics.
Experience with Xero.
Website and social media management (e.g. Instagram).
Marketing experience.
Familiarity with Eezytreev or similar contract management software.
