Job Description

At Vanta, our mission is to help businesses earn and prove trust. We believe that security should be monitored and verified continuously, and we empower companies to practice better security and prove it with ease. Vanta has a kind and talented team, and while some have prior security experience, many have been successful at Vanta without it.

Join Vanta's People team as a People Operations Specialist and help scale the foundation that enables every Vanta'n to do their best work - securely, efficiently and with confidence.

In this role, you'll be at the heart of our People operations: ensuring data integrity, streamlining workflows through automation, and partnering cross-functionally to improve both our internal processes and the broader employee experience. You'll work closely with our Manager, People Operations, and collaborate alongside our People Ops Generalists to keep our programs running smoothly and with intention.

This is an ideal opportunity for someone who is systems-minded, energized by fast-paced environments, and excited to grow at the intersection of People Ops and technology.

What you’ll do as a People Operations Specialist at Vanta

- System Administration: Maintain our core HR systems (e.g., HRIS, performance platforms, onboarding tools, etc.).

- Data Integrity & Reporting: Own the accuracy, confidentiality, and integrity of employee data.

- Automation & Workflow Optimization: Identify manual processes and proactively build scalable solutions using automation and integrations across tools. Translate complex business needs into efficient, repeatable processes.

- Employee Lifecycle Administration: Process key employment changes — including new hires, terminations, promotions, transfers, etc — ensuring timely and accurate updates across People systems and cross-functional stakeholders.

- US Immigration Administration: Serve as the day-to-day owner of US visa processes, including H-1B transfers, PERM applications, and other employment-based immigration filings — partnering closely with external and internal counsel and cross-functional stakeholders to ensure timely, compliant execution.

- Policy & Documentation Ownership: Maintain and update People policies, process documentation, and system configurations to ensure accuracy and accessibility. Serve as a day-to-day resource for People systems questions and troubleshooting across our HR tech stack.

- Compliance & Audits: Ensure system configurations and data meet compliance requirements (e.g., I-9s, security and compensation audits, employment verifications). Lead audit data pulls and documentation support.

- Teammate Experience: Serve as a resource to employees through our ticketing system — answering questions and resolving issues related to HR systems, data updates, and process flows with clarity and care.

How to be successful in this role

- 2-3 years’ People Ops experience in a high growth, fast-paced environment

- Strong interest in HR systems, data, and operations, with prior experience working in HRIS or related systems (e.g., HiBob, Workday, Ashby, Culture Amp, etc.)

- Excellent attention to detail and a strong sense of data integrity

- Ability to build scalable systems and automate repetitive processes using tools and integrations

- Able to navigate ambiguity and shifting priorities with a bias for action – bringing structure and clarity to issues that don’t come with a playbook

- Comfortable managing sensitive data with a high degree of discretion and confidentiality

- Strong problem-solving skills, operational rigor, and project management chops

- Clear, effective written and verbal communication — able to collaborate across teams

- Experience or openness towards building with AI

- Proficiency with G-Suite, Slack, Zoom, and general aptitude for learning new software quickly

- Must be authorized to work in the U.S. without the need for current or future employer sponsorship.

- Open to using AI to amplify the
