Lettings & Sales Co-ordinator
We are looking for an organised, proactive and customer-focused Lettings & Sales Coordinator on behalf of our established client, to take responsibility for their effective day-to-day management of a portfolio of residential properties.
You will oversee property compliance, maintenance, inspections, tenant check-ins and check-outs, viewings and new property onboarding, while acting as a key point of contact for landlords, tenants and contractors.
The role requires excellent attention to detail, strong communication skills and the ability to manage multiple priorities while ensuring properties remain compliant, well maintained and professionally managed.
Key Responsibilities
Property Compliance & Safety
Manage statutory property compliance requirements, ensuring inspections and certificates are completed before expiry.
Coordinate remedial works with qualified and approved contractors.
Monitor outstanding compliance actions through to satisfactory completion.
Check certificates and documentation for accuracy and maintain clear, up-to-date electronic records.
Escalate any significant compliance or safety concerns promptly.
Maintenance & Repairs
Act as a key point of contact for tenants and landlords regarding maintenance and repair issues.
Log, prioritise and coordinate maintenance requests, ensuring appropriate response times.
Obtain quotes, instruct contractors and coordinate access and completion of works.
Monitor ongoing repairs to ensure quality, timescales and agreed standards are met.
Keep landlords and tenants informed and ensure issues are fully resolved.
Property Viewings
Arrange and conduct professional property viewings with prospective tenants.
Provide accurate information regarding properties, local amenities and tenancy requirements.
Assess prospective tenants and provide appropriate feedback to the lettings team or landlord.
Follow up after viewings and support the progression of applicants.
Tenant Check-In & Check-Out
Coordinate all pre-tenancy documentation, including tenancy agreements, compliance documentation and deposit protection requirements.
Conduct professional tenant check-ins, including meter readings, key handovers and provision of relevant information.
Ensure tenant responsibilities and key tenancy requirements are clearly communicated.
Manage check-outs, recording property condition, meter readings and key returns.
Compare check-out condition against inventories and identify damage or discrepancies.
Prepare clear reports for landlords and support the resolution of end-of-tenancy issues and disputes.
Property Inspections
Arrange and conduct interim property inspections throughout tenancies.
Assess property condition, occupancy, cleanliness and compliance with tenancy requirements.
Identify maintenance, health and safety or tenancy-related concerns.
Produce accurate inspection reports and ensure required actions are followed through.
New Property Onboarding & Landlord Management
Meet prospective landlords and assess properties for the rental market.
Provide professional advice regarding rental value, market demand, property preparation and relevant legal requirements.
Coordinate property preparation, compliance checks, photography and other requirements ahead of marketing.
Maintain strong landlord relationships through regular communication and proactive updates.
Provide feedback on enquiries, viewings, market interest and recommended works.
Skills & Experience
Essential
Previous experience within lettings, estate agency or residential property management.
Good understanding of the residential lettings process and tenant lifecycle.
Experience coordinating property maintenance, repairs and contractors.
Strong understanding of property compliance and the importance of accurate records.
Excellent organisational skills with the ability to manage multiple properties, deadlines and competing priorities.
Excellent written and verbal communication skills.
Professional, proactive and customer-focused approach.
Competent IT skills, including Microsoft Word, Excel and property management/CRM systems.
GCSEs or equivalent, including English and Maths.
Full UK driving licence and access to a vehicle.
Willingness to drive a company pool car and through the Mersey Tunnels.
Desirable
NFOPP Level 3 or equivalent property/lettings qualification.
Formal Excel training or strong practical Excel capability.
Experience using property management software and CRM systems.
Experience managing landlord and tenant relationships independently.
What We're Looking For
We are looking for someone who is highly organised, commercially aware and comfortable taking ownership. You will need to be confident dealing with landlords, tenants and contractors, able to prioritise competing demands and willing to take problems through to resolution rather than simply passing them on.
Accuracy, compliance and customer service are central to the role.
Hours of work are Monday to Friday 9am – 5pm, with occasional Saturdays.
Salary £33,000 - £35,000 depending on experience (+Bonus)
